It is important before we confirm the booking that you agree to these. Once you have read and agreed to these you will be directed to the booking form. It would be greatly appreciated if all conditions are adhered to so that no misunderstandings occur during your stay.
Booking form
The next step in the booking process is to complete the online booking form. Once you have agreed to the below T&Cs you will be automatically taken to the form. It is imperative that you complete this form as accurately as possible to avoid any issues on arrival.
Payment
To complete the booking process you are required to BACs your booking deposit so it reaches our bank account within 10 days of completing the booking form. Should these funds not be transferred in time your booking will not be confirmed.
Booking deposit – This secures your booking until you pay the full balance.
Eight weeks before your arrival your booking deposit will be transferred as your refundable security deposit. Therefore your FULL balance is due to be paid 8 weeks from check-in. Should we not receive these payments on time your booking will not be guaranteed. We will send an email reminder but please make a note in your diary also incase the email goes into your junk mail or you miss it.
Security deposit – This is to cover any costs incurred from your stay such as breakages, damages, additional cleaning. This deposit will be refunded after your stay once the cottage has been thoroughly checked.
No contract exists until a completed booking form has been received by us with the requested deposit and security funds. Thereafter the holidaymaker becomes liable for the balance of the rent and this must be paid by the due date.
Check-in & Check-out
Possession of the cottage is not permitted before 3pm on day of arrival (note Coble cottage is 4pm). If you intend to arrive late please let us know. Key will be in the door on the inside unless stated otherwise. The cottage must be vacated by 9.30am on day of departure. This is a strict rule and cannot be extended to a later time. If our cleaning team cannot get in the cottage because of a late departure we will not return your security deposit. Please leave the key in the door on the inside of the cottage when you leave. If you are leaving early please inform us.
Cleaning & Breakages
The chalet should be left in the same clean and tidy condition, as you find it. Please do not leave any food in the fridge, freezer or cupboards. The cottage is stocked with relevant cleaning products, dishcloths and dusters. Dishwasher tablets are provided where applicable. Tea towels and a toilet roll are provided.
We understand accidents happen, please inform us of any damages, breakages or appliance issues immediately so we can try and rectify them. The inventory will be checked on arrival and departure and the tenant will undertake to pay for all broken or missing contents, fixtures and fittings.
We provide a waterproof mattress cover in each cottage. Please use these if you feel there is a chance of bedwetting. If a mattress is damaged due to bedwetting a full charge for a new mattress will be made. If you need further waterproof protectors please don’t hesitate to ask.
Ensure that only toilet paper is put down the toilets. No baby wipes, face wipes, cleaning wipes, feminine hygiene products etc should be put down the toilet, our system cannot cope with them and will cause blockages and flooding in the property.
Please note that the management reserves the right not to accept any further bookings or honour any bookings already made if the cottage is deemed by the management to have been left if an unsatisfactory state.
Bed Linen
Guests must supply their own bed linen and towels. Duvets and pillows are provided with protectors on. Please take care when stripping beds to leave behind the pillow, mattress and duvet protectors. Please make sure that all our bedding is covered with appropriate sheets, duvet covers and pillowcases. Our main bedrooms have a King size bed, and all other beds are singles. Bath mats are provided.
Note: if you are booked into Coble cottage linen, towels and bath mats are provided.
Occupancy
No persons, other than those stated on the booking form may stay on the premises overnight. You must not exceed the maximum allowed to stay. Any persons found to be breaking this rule will be asked to leave. Our cottages are not designed to host parties and gatherings therefore please do not use them in this way.
The tenants must not sub let the cottage and must take care and precaution to prevent damage, while they are responsible.
Clients should note that our cottages should be for the sole use as a single dwelling for holiday occupation by the people whose names appear on the booking form. In the event of a group of people booking more than one cottage we would stress that no one particular cottage should be used as a congregational point for everyone.
Children should be supervised at all times in the property.
The property should be locked and secure whenever left unattended. Please use the key safe lock provided rather than taking the key out with you.
Dogs
Dogs are allowed only by prior arrangement with us. They are not permitted in any of the cottages during the main season, i.e. school holiday periods. Please contact us to get dates when 1 dog might be allowed in Shell Cottage only. They must be kept on a lead at all times on the site. Please keep dogs off the furniture and do not leave unattended in the cottage. Dogs should not be allowed in the bedrooms. Please appreciate that not all our clients are dog owners. Please make sure all dog mess is removed from the garden. If you have guests with dogs they are not permitted at the cottage, not even tied up outside.
Vehicles
2 cars only per cottage, any further cars, i.e. visitors cars, must be reported to the warden, prior to or on arrival. No tents or campervans are permitted to be used at the premises.
Complaints or Issues
If you feel you have a genuine complaint in respect of your holiday home, then this should immediately be reported to the owners who are contactable 24/7. Complaints which are not reported immediately will not be entertained subsequently, and no correspondence will be entered into in respect of complaints made on departure or after your return home. We welcome objective and truthful reviews on social media and other sites but would always like the opportunity to respond to genuine grievances and complaints, or suggestions before you do so.
Cancellation Policy
To avoid misunderstandings, we would like to point out that a booking constitutes a legally binding contract and would recommend you take out adequate Cancellation Insurance. If you have to cancel we will endeavor to rebook the accommodation, and if successful we will refund your booking deposit less 10% and your security deposit in full. If the balance has been paid in full then a refund will only be given if the property can be re-let.
COVID – 19 specific TERMS AND CONDITIONS
Following recent developments we understand peace of mind is important when it comes to booking a holiday in these uncertain times. Customers may defer your booking for a future date, receive a credit for future use, or cancel your booking to ensure you do not lose your money, in the event of the following:-
Government restrictions imposed on travel, , including regional lockdowns or restrictions.
Government restrictions imposed on travel to our area or any cross border restrictions.
The re-closure of holiday letting accommodation as a result of COVID-19
THE REFUND GUARANTEE DOES NOT COVER GUESTS FOR FALLING ILL WITH COVID, FOR A REQUIREMENT TO SELF-ISOLATE OR QUARANTINE, OR FOR A TRACK AND TRACE ALERT PREVENTING THEM FROM TRAVELLING. THOSE SITUATIONS CAN ALL BE COVERED BY TAKING OUT SUITABLE TRAVEL INSURANCE. There are several suitable options which include cove for COVID related cancellation on www.gocompare.com
Non Covid-19 related matters automatically differs to our normal cancellation policy outlined above.
Additional Information
Please note that we operate a no smoking policy in all our cottages.
You must ensure that nothing happens which may be a nuisance or inconvenience to occupiers of neighbouring or adjoining property or adversely affect any insurance of the property and also ensure that the floors are not overloaded.
We as a company are not in favour of the use of Jet Skis in Beadnell Bay. We therefore do not permit the storing or launching of them from our properties.
There is no WiFi in our cottages (please note Coble cottage does have WiFi). Each cottage has a TV and DVD player.
We would be very grateful if there are any indoor and outdoor plants in your cottage that they are watered. Please secure any outside furniture against stormy/wet weather.
There is a laundry on site and the key can be obtained from the warden.
You will permit the owner (with or without workmen or others) at reasonable times and on reasonable notice to enter and inspect, and if necessary to repair the property, or to enter the property without notice in an emergency to repair the property or adjoining premises.
The proprietor of the property reserves the right to refuse admission and to evict anyone - at the same time making any payment pro-rata.
